Office Bag Checklist: What to Carry and the Bag That Fits It All

A work bag needs to hold a 14 inch laptop, a charger, a water bottle, lunch and a folded umbrella. That means a structured tote about 33 cm wide with a flat base and a zip top.

Quick answer

  • The non-negotiables: laptop, charger, ID card, phone, wallet, keys, water bottle, umbrella from June to September.
  • Minimum bag width: 33 cm for a 14 inch laptop, 38 cm for a 15.6 inch one.
  • Base: flat and reinforced, so the bag stands on its own next to your desk.
  • Closure: a full zip if you commute by metro or local train.
  • Best shape: structured tote for laptop days, medium satchel for meeting days, small sling for the evening.

The full office bag checklist

Carry every single day

Laptop, charger with its brick, office ID or access card, phone, wallet, house keys, a pen and a small notebook even if you take notes digitally, water bottle, hand sanitiser, and a strip of paracetamol. That is the base load and it is already around two kilos once the laptop and bottle are in.

Carry from June to September

Folding umbrella, a thin microfibre towel or large handkerchief, and a dry pouch or zip bag for the laptop charger. Mumbai, Pune, Kochi and Kolkata make this list compulsory. Delhi and Bengaluru need it for shorter stretches, but the rain still arrives on the day you left the umbrella at home.

Carry two or three times a week

Lunch box, a small deodorant, a spare kajal or lipstick, earphones, a power bank, and flats if you commute in sneakers. The flats are the item people forget to budget space for. A pair of folded ballet flats takes about 22 cm by 12 cm and will not go in alongside a laptop unless the bag is genuinely 35 cm or more across.

Leave at your desk instead

A second charger, a mug, a shawl or stole for aggressive air conditioning, and the file you only need on Thursdays. Every item you move to a desk drawer is weight you stop carrying on a crowded train twice a day.

How big the bag actually needs to be

Laptop dimensions decide this, not style. A 14 inch laptop is roughly 32 cm by 22 cm. A 15.6 inch laptop is roughly 36 cm by 25 cm. Add about one centimetre on each side for the bag's own lining and padding, and you get a working minimum of 33 cm width for the smaller machine and 38 cm for the larger one.

Height matters less than base depth. A bag with a 12 cm base holds a water bottle upright. A bag with a 7 cm base does not, and the bottle ends up lying on its side against your laptop, which is how people discover their bottle lid is not as reliable as they thought.

Weight of the empty bag is the figure nobody checks. Anything over about 700 grams empty is working against you before you put a single thing in it. Vegan leather sits well below that at these sizes, which is one practical reason it suits a daily commute.

The shapes that work in Indian offices

The structured tote

If you carry a laptop daily, this is the default. A structured tote with a contrasting top panel reads as deliberate rather than casual, which matters in corporate offices with an unspoken dress code. The Professional Contrast Panel Tote Bag is built around that brief, with a flat base and enough interior room for a laptop plus the daily load. It sits around Rs. 2,100, with the current price shown on the product page. Other options are in tote bags.

Where it goes wrong: an open-top tote on a Mumbai local at 6.15 pm is a bad idea. If your commute involves that kind of crush, choose a version with a zip or carry a backpack instead.

The medium satchel

For meeting-heavy days and for anyone who no longer carries a laptop every day, a satchel is the better shape. It holds documents flat, it looks right across a table, and at around 30 cm it is small enough that you are not tempted to fill it. The Classic CG Contrast Trim Textured Satchel has a clean rectangular silhouette and a contrast trim, priced around Rs. 2,100 at the time of writing. The satchel bags range covers the same shape in other colours.

Where it goes wrong: a 30 cm satchel will not take a 15.6 inch laptop. Measure before you buy, not after.

The second bag

This is the part most checklists miss. If your evenings involve anything beyond going home, the realistic setup is a work bag plus a small sling that lives inside it. Transfer phone, card, lipstick and keys, leave the tote at your desk, and go. A chain crossbody like the Premium Multi-Dimensional Chain Crossbody Bag at around Rs. 2,160 does this job and does not look like a work accessory.

The backpack case

Nobody wants to hear it, but a backpack is kinder to your shoulders over a thirty minute standing commute. Two straps distribute two kilos in a way one strap never will. If your office culture allows it, a structured backpack from backpacks is the most sensible daily choice for a long commute. The trade-off is access. You have to take it off to get anything out, which is irritating at a metro gate.

Monsoon, metros and the real commute

Three things go wrong with work bags in India, and none of them are about looks.

First, rain. A bag sitting on a wet auto floor or a bike footboard soaks from the bottom up. This is the single strongest argument for a reinforced base and for keeping the charger in its own zip pouch inside the bag rather than loose.

Second, the squeeze. On the Delhi Metro's Yellow Line or a Mumbai local, a bag held in front of you across the body survives. A tote hanging off one shoulder gets pushed, snagged and opened. Carry a tote by the handles in front of you rather than on the shoulder in those conditions.

Third, air conditioning and sweat. A vegan leather bag carried against a kurta all day will leave a mark on light fabric if the bag is damp. Wipe the back panel dry before you put the bag on your shoulder.

What to stop carrying

Two full-size notebooks when one will do. A laptop sleeve inside a padded bag, which just adds bulk. Three pens. A makeup pouch with items you have not used in a month. A second pair of earphones. Loose coins and old receipts, which quietly add 200 grams and make the inside of the bag unpleasant to reach into.

Also stop carrying a water bottle you refill once. A 500 ml bottle you top up at the office cooler weighs half what a one litre bottle does and holds the same water over the day.

How long a daily work bag should last

A bag carried five days a week for a year takes roughly 250 round trips. The parts that fail first are the handle attachment points and the zip pull, not the body. When you are choosing, open and close the zip a dozen times and pull firmly on the handle base. Vegan leather bodies in this price band hold up well to daily use, though the corners will scuff. If you want the bag to look new for two years, buy a second one and rotate them rather than expecting one to stay pristine.

Frequently asked questions

What size bag do I need for a 14 inch laptop?

At least 33 cm wide and 25 cm tall. A 14 inch laptop measures roughly 32 cm by 22 cm, and the bag needs about a centimetre of clearance on each side for its lining. For a 15.6 inch laptop, look for 38 cm of width.

Is a tote or a backpack better for office?

A backpack is better for your shoulders on a long standing commute, because two straps share the weight. A tote is better for quick access and for formal offices. If you stand on a metro or ride a two-wheeler for more than twenty minutes, pick the backpack.

How much should an office bag weigh when empty?

Under about 700 grams. Your laptop, charger and water bottle already come to roughly two kilos, so a heavy empty bag adds strain for no benefit. Vegan leather totes in the 33 to 38 cm range usually sit well under that figure.

What is the best colour for a work bag?

Black, deep brown or navy if you want one bag that works with every outfit and hides scuffs. Lighter colours look good for the first few months, then the base and corners show commute marks. A two-tone bag with a darker lower panel is a good compromise.

Do I need a separate laptop sleeve?

Only if your bag has no padded compartment. A sleeve inside a padded bag wastes about 2 cm of width and makes the laptop harder to pull out. If the bag is unpadded, a thin sleeve is worth the space it takes.
